Interior design invoices built & sent in five minutes

Designers don't bill like lawyers. Projects shift. Scope evolves. A schedule that was locked last Tuesday has three new additions by Friday. Your invoicing should keep up without becoming another project in itself.

For most studios, invoicing sits in an awkward middle ground. Too important to ignore, too tedious to enjoy. You finish the creative work, then context-switch into spreadsheets, accounting platforms, and copy-paste marathons just to ask for the money you have already earned.

New invoicing in Programa is built to close that gap. Pull from the project data already inside Programa, and send a polished, client-ready invoice in under five minutes.

Discover a better way to get paid

Select Invoices (New) under Financials in the side navigation to get started.

For guidance on setting up your studio’s invoicing or activating Programa Pay, our Help Center has step-by-step guidance on configuring invoice settings, client payments and getting your first invoice out the door. And as always, Programa’s live support chat sits alongside the new experience, giving you access to real human support right inside the platform.

Start from what you already have

No retyping. No toggling between tabs to copy product names and prices into a separate system. The data is already there, living inside your project. Programa puts it to work.

Pull line items directly from:

  • Schedules
Products carry over with images, names, descriptions, prices, and tax rates already applied. What you specified is what you invoice.
  • Time entries
Billable hours flow straight into the invoice without manual logging or reformatting.
  • Custom line items
For anything that sits outside your standard project data, add line items on the fly with full control over naming, pricing, and tax.

The result is an invoice that starts 90% complete before you have touched it. Your job is to simply review, adjust if needed, and send.
A new interface built with studios, not just for them

We redesigned the invoicing experience from the ground up, shaped directly by feedback from dozens of studios across different markets, team sizes, and project types. The brief was simple: make invoicing feel like part of the design process, not a detour from it.

Here is what that looks like in practice:

  • Inline editing
Click into any line item and adjust quantities, descriptions, or pricing without opening separate dialogs or modals.
  • Drag and drop reordering
Arrange line items in the order that makes sense for your client, whether that is by room, by phase, or by product category.
  • Autosave
Every change saves automatically as you work. Close your laptop mid-invoice to take a site call, come back, and pick up exactly where you left off.
  • Clean visual hierarchy
Information is structured so you can scan an invoice quickly, catch errors before your client does, and move on.
Why five minutes matters

Five minutes to invoice might sound like a small thing. It's not.

Think about it across the life of a studio. A typical project might generate anywhere from five to twenty invoices across milestones, procurement phases, and final billings. Multiply that across ten or fifteen active projects. Then multiply across a year.

If each invoice previously took 20 to 30 minutes of admin, and now takes under five, you are reclaiming entire working days. Days that go toward:

  • Sourcing and specification
  • Client presentations and relationship building
  • Design development
  • Or simply closing your laptop earlier on a Friday

Speed is not about rushing. It is about removing the low-value work that sits between your creative output and the revenue it generates. The administrative dead space that quietly eats into every studio's margin.
The bigger picture

A beautifully considered interior tells a story of restraint and intention. Every material, every finish, every spatial decision earns its place. The tools you use to run your studio should hold themselves to the same standard. They should do their job without demanding attention, then step aside so the real work stays front and centre.

That is what fast invoicing really means. Not just efficiency, but the confidence that comes from knowing the operational side of your studio is working as hard as the creative side.
