My Essential Tech Stack for Running Email Love: Tools I Can’t Live Without

Running Email Love involves juggling multiple tasks—from content creation and design to analytics and automation. To keep everything running smoothly, having the right tools is essential. Over the years, I’ve curated a tech stack that helps me stay productive, automate repetitive tasks, and manage all the moving parts efficiently.

In this post, I’ll share the tools I rely on most, from the daily essentials that keep me organized to the background tools that quietly power the platform. Whether you’re looking to optimize your own workflow or just curious about the tools behind Email Love, you might find a few new favorites here!

Daily Essentials – The Tools I Use Every Day

1. Google Suite

The backbone of my daily workflow is Google Suite. Whether it’s managing emails in Gmail, drafting content in Google Docs, analyzing data in Google Sheets, or hosting meetings on Google Meet, these tools are integral to my day-to-day operations. The seamless integration across all Google apps allows me to switch between tasks effortlessly, collaborate in real-time with team members, and keep everything organized in one place. It’s simple, effective, and reliable—making it indispensable for running Email Love.

2. WordPress

Email Love is built on WordPress, and while it may not have the trendiness of newer platforms like Webflow, it offers the flexibility and customization we need. We’ve heavily customized the platform to suit our needs, adding new features every month to enhance user experience. WordPress provides a solid foundation for growth, allowing us to scale and adapt as our needs change. It’s the perfect platform for a content-focused site like Email Love, combining reliability with the power to innovate.

3. Plausible Analytics

When it comes to analytics, I’m all about privacy and user experience, which is why I chose Plausible Analytics. Unlike other analytics platforms that rely on invasive tracking and cookie banners, Plausible is a privacy-focused solution that provides valuable insights without compromising user trust. It helps me understand how visitors interact with Email Love, track key metrics, and make informed decisions—all while respecting user privacy.

4. Loom

Loom has become an essential tool, especially after launching the Email Love Figma Plugin. I recently upgraded to the paid version and now use it almost daily to create quick, easy-to-understand video tutorials for customers or to explain complex ideas to my development team. Loom allows me to communicate visually and effectively, saving time and reducing back-and-forth emails. It’s perfect for delivering personalized customer support and for collaborating internally on intricate projects.

Automating Workflows and Enhancing Productivity

5. Zapier

Zapier is the engine that keeps Email Love running smoothly behind the scenes. It automates countless workflows, from selecting, scraping, and screenshotting emails to managing our social media posts. Without Zapier, these tasks would require hours of manual work each week. For example, Zapier helps me automatically collect and format email content, ensuring it’s ready for review and publication with minimal effort. It also handles the distribution of content across different channels, allowing me to focus on strategy and creativity rather than routine tasks. In short, Zapier transforms repetitive processes into seamless, automated flows—making my work far more efficient.

6. Chat GPT

AI is becoming an integral part of my workflow, and Chat GPT is a powerful tool in my tech stack. I use it for brainstorming blog post ideas, refining content for social media, and even troubleshooting minor code issues. Chat GPT helps me tackle writer’s block, generates fresh perspectives, and provides quick solutions to problems that would otherwise slow me down. By offloading these tasks to AI, I can focus on more strategic aspects of running Email Love, knowing I have a reliable tool to handle the details.

Design and Collaboration Tools

7. Figma

Figma is a key player in my tech stack, especially when it comes to design and collaboration. I use Figma extensively to mock up new pages for Email Love, create new templates for our Figma Plugin, and collaborate with my co-founder on content ideas. What makes Figma stand out is its real-time collaboration capabilities; it allows multiple team members to work together seamlessly, regardless of their location. Its intuitive interface and powerful design tools make it perfect for both small tweaks and large-scale projects. Figma keeps the creative process dynamic and efficient, allowing us to bring new ideas to life quickly.

8. Notion

Notion serves as the internal knowledge hub for Email Love. It’s where all our documentation lives—from process guides and project plans to meeting notes and brainstorming sessions. Notion’s flexible structure makes it easy to organize and find information, ensuring that everyone on the team has access to the resources they need. While some of these functions could be handled with Google Docs, Notion offers a more organized and visually pleasing way to manage information. It ties everything together, acting as the central repository for all things Email Love.

Creative and Marketing Tools

9. MailerLite

MailerLite is my go-to platform for managing email newsletters and automations. It’s user-friendly, cost-effective, and provides all the essential features I need to communicate with my audience. I use it to send out our weekly newsletter, monitor list growth, and track engagement metrics. MailerLite also allows me to experiment with different email formats and content strategies, helping me understand what resonates best with our audience. It’s a simple yet powerful tool that keeps our email marketing running smoothly.

10. Adobe Photoshop

While I’m not the biggest fan of Adobe Photoshop, it remains a crucial tool in my creative arsenal, especially for tasks like editing or cropping large images. Photoshop offers a level of control and precision that is hard to match with other tools, making it indispensable for high-quality image editing. Whether I need to refine product photos, adjust colors, or create complex image compositions, Photoshop is my go-to. Even though I use it less frequently than some of the other tools in my stack, it’s irreplaceable when detailed, professional image work is required.

11. Canva

When it comes to creating social media graphics quickly, Canva is my preferred tool. It’s incredibly user-friendly and comes packed with a vast library of templates, graphics, and design elements that make content creation fast and easy. While I could use Figma for these tasks, Canva saves me time with its drag-and-drop functionality and ready-made templates. It’s perfect for producing eye-catching visuals on a tight deadline, whether I’m designing Instagram posts, LinkedIn graphics, or promotional banners.

Financial and Administrative Tools

12. Bonsai

For managing invoices and proposals, Bonsai is my tool of choice. After trying out a few different invoicing platforms, I found that Bonsai offers the best balance of functionality and ease of use. It provides a variety of templates for proposals, contracts, and invoices, which makes it simple to create professional documents in minutes. Collecting payments is straightforward, and the dashboard keeps all my financial data organized in one place. Bonsai not only helps streamline my financial workflow but also makes it easy to maintain a polished and professional image with clients.

Background Tools – Essential Yet Invisible

13. Cloudflare, imgix, Tiny PNG, Flywheel Hosting

While I rarely log into these tools, they are crucial for keeping Email Love running smoothly behind the scenes.

  • Cloudflare helps enhance security and optimize the performance of the site by providing a reliable content delivery network (CDN) and protecting against cyber threats.
  • imgix dynamically delivers and optimizes images, ensuring they load quickly and look great across all devices, without sacrificing quality.
  • Tiny PNG compresses images without compromising their visual quality, which helps speed up the website and improve user experience.
  • Flywheel Hosting powers the site with robust, managed WordPress hosting that ensures speed, security, and scalability, allowing me to focus on growing Email Love without worrying about downtime or technical hiccups.

These tools may not be the ones I interact with daily, but they provide the essential infrastructure that keeps everything running smoothly, allowing me to focus on creating content and growing the platform.

Conclusion

Having the right tech stack is key to running an efficient and effective online community like Email Love. From daily essentials to powerful background tools, each of these tools plays a vital role in keeping operations smooth, automating repetitive tasks, and enhancing creativity.
