How to Create Personalized Thank You Emails Using AI: A Zapier + Claude Tutorial

Let’s be honest, most AI tutorials out there look impressive but are actually quite difficult to implement in practice. Today, I’m sharing a dead-simple, quick-win approach that you can set up with tools you probably already have access to.

In this tutorial, I’ll show you exactly how I used Zapier, MailerLite, Claude, and Gmail to create highly personalized thank you messages for subscribers who update their email preferences. The best part? This entire automation can be built in less than an hour.


Why This Matters

Most of us collect preference data from our subscribers but rarely do anything meaningful with it. This automation changes that by turning your preference center into a powerful personalization engine that creates genuine one-to-one experiences.


The Tools You’ll Need

  • MailerLite (or any ESP with preference centers and automation)
  • Zapier (for connecting everything together)
  • Claude (for AI-powered personalization)
  • Gmail (for sending the personalized messages)

Step 1: Set Up Your Preference Center Data Collection

First, make sure your preference center is collecting valuable data points. In our MailerLite setup, we ask subscribers:

  • What’s your favorite email platform?
  • What do you love about email?
  • Job title
  • Company
  • Location
  • Date of birth

The key is collecting data that you can actually use for personalization โ€“ not just demographic information, but insights into their interests and professional context.


Step 2: Create an Automation Trigger

In MailerLite, set up a simple workflow that adds subscribers to a specific group when they update their preferences. This group acts as the trigger for our Zapier automation.

The logic is straightforward: if someone updates any preference field, they automatically get added to an “Updated Preferences” group.


Step 3: Build Your Zapier Automation

Here’s where the magic happens. Create a new Zap with these components:

Trigger: Subscriber added to group (your “Updated Preferences” group)

Action 1: Send message to Claude with all the subscriber data

Action 2: Send personalized email via Gmail


Step 4: Craft Your Claude Prompt

This is crucial, spend time getting your prompt right. I actually used Claude to help me create the perfect prompt (meta, I know!). Here’s what works:

  • Request 150-200 words
  • Ask for HTML formatting with <br><br> tags
  • Specify 3-4 sections of 2-3 sentences each
  • Include specific resource recommendations

The key is mapping your preference data into the prompt so Claude can create truly personalized content.

Step 5: Connect Everything Together

In Zapier, make sure you’re merging the subscriber data into both your Claude prompt and your Gmail action. This ensures the personalization flows through the entire process.


The Results

Let me show you what this looks like in practice. When someone signs up as a “CRM Manager at Nike” who “loves using data to create personalized inbox experiences” and uses “Iterable” as their ESP, here’s what Claude generated:

“Hi Kerry, thanks for updating your email preferences!

It’s awesome to see a fellow data enthusiast at Nike who’s passionate about creating personalized inbox experiences. With your 100% engagement rate, you’re clearly someone who values quality email content โ€“ exactly what we love to see.
